KI 0620 How to cooperate or share documents in OneDrive?

You can share documents with others internally at UiB or externally. You can also collaborate on documents with your colleagues or partners and see changes as they are made.
Sharing a folder or file with others
Right-click the icon for the relevant file or folder in OneDrive and select the Share function:



You will see a box similar to this:



The default sharing setting is "People you specify can view" or "People in the University of Bergen with the link can view". This means that the recipients cannot edit. You can change this by clicking on the heading and change, or tick Allow editing / Can edit if you want to allow this.

If someone is going to save files in a folder you have shared with them, they must be allowed to edit the folder.

Start typing the names of the recipients in the field and you will get suggestions for recipients. You can write a short message and when you click on Send you will receive a receipt that the sharing link has been sent and the file has been shared.

Share with other UiB users
Files shared with a UiB-user will appear in the recipients shared with me-tab in OneDrive.
They will also get a notification email from which they can open the file. 

Sharing internally on UiB is very easy, as you may  find the desired recipients by name without knowing their email.  

Share with external users
It is not possible to share a link that is fully accessible to anyone that has it. You may share the link, but you will get an email where you need to accept each user that accesses this link.

Sharing by email is preferable. You can share files with private or other external email adresses. These will get an invitation by mail, and may access the editable file after going through some security steps. 

Manage access
Initially, you can manage access and set permissions in the dialogue box as described above.

You can manage and modify the settings from the file list in your OneDrive (available i.e. from start.uib.no). Herre you will see that the file is shared:



You can manage the settings by clicking the status that is listed for a particular file (see the Sharing-column). A new menu now appears. Here, you can stop sharing and thus withdraw all permissions for the selected file in a single click. 



Here you may also manage access, add or remove persons and manage advanced sharing settings:
