KI 0684 How to install and use OneDrive on your PC
If you use a private PC, you will need to download and install the OneDrive client.
The client allows you to synchronize the content between your various devices and OneDrive online. This has many advantages, not least when it comes to backing up and sharing files.
1) Run the "setup" file, and enter your e-mail address username@uib.no.
2) You will be forwarded to a login and must enter your password
3) Select location for the files (if you have no special preferences you can just click next)
4) Feel free to read the short introduction in each picture and press > until "Everything is ready".
5) You have now installed the client on your PC, and you will hopefully see a small blue cloud at the bottom right of the taskbar
Now you also have a separate folder on your computer called OneDrive - University of Bergen.
You can open this via the icon in the taskbar or via the start menu or in file explorer. Below you see what it looks like.
Synchronization
When you work with files and documents in the OneDrive folder on your PC, they will be synchronized to OneDrive online and your other devices that have the OneDrive client installed.
When files are synchronized, they will be tagged as follows:
For most of your files it will be sufficient to have them only available in "connected mode". That is, you can browse files in the file structure, but need to be connected to the internet to open them. This is useful for files you only need occasionally and if you have access to the web where you are.

Below is the right-click menu for a file in the OneDrive folder. In addition to the usual editing options, there is "Share" and "View online".
In addition, there are options for "Always keep on this device" and "Free up space".
If you select "Always keep on this device", the file will always be synchronized to the device you are on (all-green icon).
If there is already a check mark in front of "Always keep on this device" the file will have an "Available on this device" status which means that it is kept synchronized on the device you are sitting on as long as the file is in regular use. If the file is not used for a while, OneDrive will free up space and the file will have the cloud symbol.
If you select "Free up space", the space the file takes up will be released and the file will have the cloud symbol.
Using OneDrive Online
If you go to the left side of Windows Explorer, right-click on "Onedrive - University of Bergen" and then "View online", Office 365 will open in a browser window.
Here you also have standard Office tools available, and you can work both locally and online.
Here you can see an overview of files, what you have recently worked on and files that have been shared with you. You will also find the Teams menu here.
You can also create new folders and files, upload or sync to your computer from the online menu.
