KI 0991 How to schedule a Zoom meeting on behalf of others

If you are going to set up meetings for another person, and you are not going to attend yourself, we recommend using the procedure described here.
If you are going to attend the meeting yourself, it is better to use "alternative host", see KI 0472.

Note that this description only shows how to create Zoom meetings. It does not apply to other Outlook meetings.

Give others access to set up Zoom meetings on your behalf
  1. Go to https://uib.zoom.us/profile/setting, log in with SSO, click on the plus sign (+) under Scheduling Privilege (navigate all the way to the bottom of the website).


  2. Enter the e-mail address of the user (s) who will have access, in the form firstname.lastname@uib.no. Multiple email addresses can be separated by commas. Click Assign.


Set up Zoom meetings on behalf of others
We recommend setting up Zoom meetings on behalf of others via Outlook, but it can also be done via the Zoom client on your PC. Note that in both cases you must send the invitation to the user you are setting up the meeting on behalf of as a regular meeting request.
  1. Install the Zoom Outlook Plugin (see KI 0970) from the Software Center on UiB PC or zoom.us/download on private PC. After installation, Outlook must be restarted if it was open.
  2. Open your or your person's calendar in Outlook (if you have access to add to other people's calendars).
  3. Create a new meeting at the right time and select Schedule a Meeting in the Zoom tab.


  4. Click Advanced Options and check Schedule for, select the person for whom you want to create a meeting, and look at the settings as needed in the meeting. Click Continue.


  5. In order for the user you have set up the meeting for to be summoned to their own Outlook calendar, you must add the other person as a meeting participant. Edit the invitation as needed.



    NB. Do not remove the information on how to attend the meeting.
  6. Send the invitation as to a regular meeting.
