KI 0994 How to run a Zoom Webinar
Call in to the webinar
If you have been granted the license to call in the webinar yourself, you can do so according to the procedure at KI 0945 How to create Zoom Webinar.
If you do not have the opportunity to create the Zoom Webinar yourself, order it with a separate form in UiBhjelp.
Conducting the webinar
Host
The chair of the meeting (alternative host) and the panelist go to the link they received by e-mail when the webinar was created.If Practice Mode is set, you will get the following message (at the top) when you enter the meeting:
Using this feature, you will be able to chat and test things out before the meeting begins.
Click on Broadcast to make the webinar available to the public.
Regular participants
Regular attendees (attendees) will receive this message until the chair of the meeting (Host or Co-host) clicks on Broadcast:If you want to close the Chat option, Host or Co-host must do this manually in the meeting.
Host or Co-Host can remove participants if needed
To do that go to Participants > More to the right of the participant you want to remove - Select Remove:
Questions from the audience
Questions can be asked by the participant using the Q&A function.The questions can be seen by the Host, Co-host and panelists. We recommend that one of the hosts (Host or Co-host) take care of these questions. Should inappropriate questions arise, these can be ignored (Dismiss). When it's time for questions, the host can read them out.
You can click on the Answer live button or Type Answer depending on how the question is to be answered.
When the question is answered, it ends up in the Answered group.
Posts from the audience
It is also possible to give a participant (attendee) the opportunity to use a microphone (Allow to talk) to comment or ask questions.It is also possible to turn the participant into a panelist (Promote to panelist) if a participant also needs to use a webcam or share something. This will provide better communication between the candidate and the participant, but can also pose a risk of sabotage, as you can never know who the participant really is.
Recording
If you are a Host or Co-host, you have a separate Record button to record the webinar. (Assumes you are using the Zoom application and not the Web version)The menus for the different participants:

Co-Host have Leave Webinar instead of End Meeting. If a Host is to leave the meeting, he or she must give the Host role to one of the other Co-hosts in order not to end the webinar for everyone.
You must use the Zoom program to record. That feature is not available in the web edition.

In summary
In short, Zoom Webinar is similar to a regular Zoom meeting for co-hosts and panelists. The main difference is that you do not have Breakout Room in a Zoom webinar. Here you must consider whether you want to create a separate meeting (Zoom or Teams) for this where you can discuss the candidate's doctoral dissertation, without the others hearing.When you as a host leave a meeting, you must be aware that you also have the opportunity to end the meeting. You should not do this if you do not want to close the meeting for all the other participants as well. In that case, select Leave Meeting instead of End Meeting for All. You must then pass on the Host role to another Co-host.
