KI 0564 Microsoft 365

Information about UiB's Microsoft-subscription that makes the Office-package and other applications available to students and employees.
Access and Installation
All students and employes have access to the Office 365 applications through their UiB user account. The applications can be installed for both Windows and Mac.

Visit the Office-portal - www.office.com - and log in using your UiB-account:

Students: Log in using username@uib.no
Employees: Log inn using your e-mail, firstname.lastname@uib.no

In this site you may download the Office product package in full, or select single applications. You can also find other services related to Microsoft here, such as an online inbox for you email, or complete online overview of your files saved in OneDrive. You may install the traditional Office software on up to five devices.

Applications included
Microsoft 365 contains many products, but the most used and well-known are:
  • Word - word processing
  • Excel - spreadsheet program for creating tables and making calculations
  • PowerPoint - for creating presentations
  • Teams (see KI 1386 Teams) - chat-based collaboration area
  • OneNote (see KI 0624 OneNote) - program for making quick notes
  • OneDrive (see KI 0574 OneDrive cloud storage service)
  • Forms - for creating surveys, quizzes and polls
  • Sway - makes it easy to create and share interactive reports, personal stories, presentations and more
  • Planner - keep track of work tasks in projects
Desktop vs. online platforms
Office applications can be used in various flavours. Local use on your own machine is well known to most users, but the applications in the Office suite can also be used with somewhat limited functionality in the browser through the Office portal. This solution is called Office Online, and is particularly useful if you do not have access to your own computer with the programs installed.

Office Online is completely cloud-based, and work here is automatically saved to OneDrive. It will also be appropriate to use Office Online if you open a document from Teams or OneDrive. If you hold the mouse pointer over the file you want to open in Teams, three dots to the right of the file name will become visible. Press these and then Open and you will be given a choice of how you want to open the file:

Open in Word Online - The document opens in the browser version of Word.
Open in Word - The document is opened in the desktop application of Word (local Office package).
Edit in Teams - The document opens in the browser version of Word, but inside the Teams window.

If you do not make a selection, the document will be opened as Edit in Teams. The same  applies to Excel, PowerPoint and OneNote.

The advantage of using Edit in Teams/Open in Word Online is that you can quickly open the document to either look at it or make minor adjustments. The disadvantage is that the Online version of Word/Excel/PowerPoint is not as powerful and has as many functions as the desktop application.
